Define the conversation boundaries
List the tasks a phone assistant may handle, such as explaining opening hours, collecting an enquiry or requesting an appointment. List the topics that require staff involvement. Do not give the assistant authority to make commitments the business has not approved.
Prepare approved business information
Create a maintained source for service descriptions, availability rules and common questions. Decide how updates reach the assistant and how quickly outdated information must be removed. Business-specific configuration matters more than a long generic conversation script.
Make escalation practical
Define what happens when a caller asks for a person, the assistant is uncertain or a connected system is unavailable. A handoff may be a transfer, callback request or ticket depending on the infrastructure. Test each route before using it with customers.
Review the whole experience
Test varied questions, interruptions and ambiguous requests. Discuss disclosure, recording choices, retention and consent requirements with appropriate advisors before launch. Provider accounts, telephony access and calendar connections need to be scoped; a marketing page alone does not activate a working phone service.
